Residence Manager

This position is a full-time management role in a private family residence of high caliber and quality. Experience in a similar home is essential and we only seek those who have worked to the highest of standards and integrity. The family requires a calm, positive, friendly person, a pleasant attitude and the family’s privacy and staff’s discretion is paramount. The main role of the Residence Manager is to be a hands-on manager in the day-to-day service and thus requires a high level of organizational skills and eye-for-detail. The residence(s) have fine furnishings, luxury items, and artwork that need special care and attention. Plan, manage & execute with the other staff members all that is required to maintain the property to the family’s wishes.

Job responsibilities

Overall Quality, Organization, Cleanliness, Maintenance

  • Structuring, planning & quality assuring the daily service level towards the family & in the property, to the highest quality, in accordance with Family’s demands/needs.
  • Maintaining a high level of organization and cleanliness throughout the whole property to support the family in their busy daily lives.
  • Day-to-Day management of Housekeeper, and maintenance person/ and or contractors together with Estate Manager.

Code of Conduct

  • Ensuring the Code of Conduct is followed in and around the property by employees and third parties alike.

Laundry & Wardrobe Mgmt, Travel

  • Laundry- Systemising & managing laundry with the housekeeper– caring for the more delicate & high value clothing personally.
  • Creating a Dry-Cleaning in/out inventory for Housekeeper
  • Linen Cupboard Management
  • Wardrobe Management- Develop & maintain a working wardrobe management system for the family.
  • Seasonality- Ensure clothing & shoes are rotated according to season. Ensuring appropriate routines are followed for long-term storage, with Housekeeper.
  • Travel- Training & ensuring the housekeeper(s) know how to pack & unpack for the principals, setting routine for the support prior & after travel, sanitizing/preparing luggage etc.

Inventory & Budget

  • Enforce yearly/monthly budget with Estate Manager, and manage running costs and expenses according to Expense Policy.
  • Ordering & Coordinating household supplies to ensure sufficient inventory for the maintenance and day-to-day running of the household for the family- according to the budget and needs set with Estate Manager.
  • Managing/adjusting the inventory lists across areas such as maintenance fixes, fridge & pantry, laundry & cleaning with the Estate Manager and family.

Managing Housekeeper & Cleaners

  • In cooperation with Estate Manager- Create daily, weekly, monthly routines for Housekeeper & Cleaner.
  • Train & oversee the housekeeper/Cleaners, ensuring they follow all house procedures & standards.
  • Assisting Housekeeper/Cleaner with the cleaning schedule where needed, when the housekeeper is absent, and during seasonal open/close.

Menus & Flowers

  • Regular flower arranging, with adjustments for events/seasonal periods (Easter, Christmas, Spring, Summer, Halloween etc.) according to budgets and in coordination with Family.
  • Plan weekly menus, prep and/or cook as needed.
  • Responsible for table settings daily, with Housekeeper
  • Coordinate, cook and manage dinner parties and/or other events, bringing in catering/serving staff as needed, at budget & in cooperation with Family.
  • Fridge, freezer & pantry management according to budgets & criteria set together with Estate Manager and/or Family.

Coordination

  • Daily Errands- (dry clean drops/pickups, walking the dog, taking the dog to the groomers, getting specialty foods & produce as needed, shopping at times for specialty items per family’s request (that cannot be ordered online, picking up packages, shipping packages etc.)
  • Fixes & Structural Maintenance- Recurring smaller fixes coordinated with maintenance person or third party, larger items coordinated with the Estate Manager.
  • Vehicles- Ensuring the family vehicles are checked regularly, oversee they are stocked and reporting any issues to the handy-man and/or the estate manager.
  • Additional tasks & responsibilities as assigned by the manager and/or the principals.
  • In absence of Estate Manager during vacations and/or sick leave assume responsibility for the whole operation of the estate(s).
  • Act as a representative of the family and as such act with grace, integrity, respect and professionalism towards all, with the family’s integrity, safety and best in mind.

Work hours

  • This position is mainly Monday to Friday; for example 9:30 am to 6:30 pm. Alternate schedules happen so flexibility and availability to work some nights and weekends is a requirement.
  • This is a salaried position where some days & weeks may be over normal working hours and some days & weeks are shorter. There is a personal responsibility expectation to manage this balance together with the estate manager.
  • Ability and willingness to travel a few times a year to the family’s other homes around Sweden to prepare for arrival and ensure the house is stocked accordingly and the housekeeper is sufficiently trained and informed of the service schedule.

Qualifications and Traits

Must be a of high integrity with verifiable references for similar previous position.

  • Able to prioritize work tasks independently.
  • Understands importance of handling all furnishings and materials, belongings with utmost care.
  • Able to communicate well with other staff members and principals.
  • Enjoys teamwork and sharing of other staff members' tasks.
  • A high level of finesse and keen eye for detail
  • Creative & quick problem solver when unexpected things occur and/or schedules change with short notice.

Education and experience requirements

  • 5 - 10 years of working experience in a similar setting and/or in an Ultra luxury small boutique resort in a similar position.
  • A general and working comprehension of most common computer programs such as word, excel and ability to place online orders.
  • Knowledge of china, glass & silver proper table setting, decorating & flower arrangements
  • F&B service training and experience of high level service with knowledge of correct serving routines and etiquette (ex; butler training or experience).
  • Experience and interest in cooking
